Conferences sized by square metres, not brochure photos

The question that decides where your conference can be held is not how many rooms a resort has. It is whether its largest function space can hold your delegates in the layout you actually need — and those two numbers are frequently mismatched.

Capacity, honestly calculated

Function space capacity depends entirely on layout. The same room holds very different numbers depending on how it is set, and resort brochures almost always quote the theatre-style maximum because it is the largest number.

The number that catches people out

A resort advertising a 250 m² ballroom can seat about 155 delegates theatre style — but only about 115 for a banquet, and around 100 classroom style with any real spacing. If your programme needs a conference by day and a gala by night in the same room, the banquet figure is your real constraint, not the theatre figure.

Delegate packages

The international standard unit is the day delegate rate: meeting room, two coffee breaks and lunch, priced per delegate. It is the cleanest way to compare venues because it bundles the elements that vary least.

Rates include VAT. What is not in a standard delegate package and is routinely forgotten in budgets: LED wall beyond a basic screen, stage build, a second microphone set, simultaneous interpretation, and printed materials.

Registration and delegate handling

For groups above about 120, registration stops being a table with a list on it. Badge printing on site, a queue that moves, a desk that is staffed at the right hours, and a way to handle the delegate who arrives on a different flight all become real operational questions.

  1. Pre-registration data collected with the rooming list at fourteen days out.
  2. Badges pre-printed with on-site printing for changes and walk-ups.
  3. Desk staffed from the first arrival wave, not from the session start time.
  4. A visible schedule board and a printed pocket schedule — mobile-only schedules fail when roaming does.

What is the largest conference Phu Quoc can host?

Currently, resort function spaces reach roughly a thousand banquet guests at the largest properties. The APEC convention centre under construction will take that considerably higher once it is in commercial use after the 2027 summit. For groups within our 20 to 200 range, capacity is not the constraint — matching rooms and function space at the same property is.

Do we need a separate venue for the conference and the gala?

Not usually below 150 delegates, as long as the room can be turned around. A turnaround takes three to four hours and needs to be built into the agenda. Above 150 a separate space or an outdoor gala is generally cleaner.

Is the internet reliable enough for a hybrid conference?

At the major resorts, generally yes, but it must be tested rather than assumed and a dedicated line should be contracted for anything streaming. We test during the site inspection and specify a backup connection for critical sessions.

Can you arrange interpretation?

Yes — booths, receivers and interpreters. It needs specifying at brief stage because interpreter availability on the island is limited and they usually travel from Ho Chi Minh City or Hanoi.
