Corporate events where the production is the point

Product launches, anniversaries, dealer meetings and partner events differ from conferences and incentives in one important way: a large share of the cost is fixed staging that does not scale with headcount. That changes how you should budget them.

Why event budgets behave differently

In a conference or an incentive programme, most of the cost is per person — rooms, meals, transport, activities. Add twenty delegates, add twenty delegates' worth of cost.

In an event, a large block of the budget is fixed: the stage, the LED wall, the lighting rig, the rehearsal time, the permits. Whether 80 people or 180 people watch it, that cost is nearly the same.

The practical consequence

Per-person cost falls dramatically as an event grows. An event that looks expensive at 60 guests often looks reasonable at 150 with the same production values. If your headcount is uncertain and you are weighing whether to invite a wider group, run the numbers both ways before deciding — the answer is frequently counter-intuitive.

Reveal moments and press handling

Staged reveal, LED content playback, press and photography positions, demo areas. Needs the most rehearsal time of any format.

Company anniversary

Recognition at scale

Long-service awards, video content, founder or leadership address, entertainment. Runs longer than an incentive gala and needs pacing.

Dealer and partner meeting

Business content plus recognition

Half-day or full-day business sessions, then an awards evening. The most common 150+ format we see on the island.

Outdoor concert or party

Beach or resort lawn

Amplified sound outdoors requires a permit and has curfew constraints. We handle the application; allow four weeks.

Hybrid and streamed

For colleagues not travelling

Multi-camera, stable uplink, and a producer whose only job is the remote audience. Bandwidth on the island has improved but must be tested in advance.

Themed evening

Full environment build

Set dressing, costume, entertainment. The most production-heavy format and the one where lead time matters most.

Permits, power and the things that stop an event

The lead-time reality

Events need longer than conferences at the same headcount. Ninety days is a working minimum for anything with a built stage; a hundred and twenty if it involves permits, imported equipment or a reveal that has to be rehearsed. If you are inside sixty days, we will tell you honestly what can and cannot be delivered rather than promise and improvise.

Can you handle a product launch with press attending?

Yes. Press handling changes the room layout — dedicated camera positions, a separate press area, controlled reveal sightlines — and it changes the rehearsal requirement. Tell us at brief stage rather than later; retrofitting press provisions into a finished design rarely works well.

Do you provide the AV equipment yourselves?

We contract production companies with equipment on the island, and for larger builds we bring specialist equipment from the mainland. Anything shipped in adds two to three days to the schedule and needs to be confirmed at booking, not later.

How long before the event do you need the final run of show?

Fourteen days for the structure, seven days for the detail, and a technical rehearsal the day before. Changes after the technical rehearsal are possible but each one carries risk on the night.

Can we stream the event to colleagues who are not travelling?

Yes, and it is worth doing for anniversaries and dealer meetings. It requires multi-camera coverage, a tested uplink and a producer dedicated to the remote feed. Treating it as an afterthought produces a stream nobody watches.
