Planning a gala: the decisions in order

A gala goes wrong at the planning stage, not on the night. Six decisions determine whether it works, and they need making in the right sequence — because each one constrains the next.

Decision one: beach or ballroom

Everything else follows from this. Make it first.

Decision two: how long is the formal content

This determines the venue as much as the headcount does. An awards segment over twenty-five minutes is difficult to hold outdoors, where there is no acoustic containment and people drift.

  1. Count the awards. Twelve individual walk-ups is twenty minutes on its own.
  2. Group small awards in fours. It halves the time and loses nothing.
  3. Cap speaking at three speakers, five minutes each.
  4. Put the largest award second to last; end on something that lifts the room.
  5. Rehearse transitions, not just content — that is where overruns come from.

Decision three: the budget split

Gala budgets have two halves that behave differently, and confusing them is why quotes are hard to compare.

The line most often under-budgeted

Beverage. Vietnamese corporate groups in particular consume considerably more at a gala than a standard package assumes. Either contract a bar package with a defined end time, or budget consumption at the upper end and be pleasantly surprised.

Decision four, five and six

Four

When in the programme

Middle of the trip, never the final night before an early flight. Delegates are rested, and the recognition has days left to be talked about.

Five

Turnaround or separate space

If the conference room becomes the gala room, allow three to four hours and put it in the agenda. An agenda ending at 17:00 with a gala at 18:30 in the same room does not work.

Six

The weather decision deadline

Four hours before start, against the forecast. Later than that and you cannot execute the fallback, which makes having one pointless.

For 100 guests with full production, budget roughly USD 48–88 per person for the meal plus USD 3,400–8,500 in fixed production, VAT included, beverage separate. Detail on the gala service page.

Can we do a beach gala in June?

Possible but not advisable to plan on. We would design a ballroom gala and treat the beach as an upside if the forecast allows, rather than the reverse.

Do we need a permit for an outdoor gala?

For amplified sound outdoors, yes, with a curfew attached. Allow about four weeks; we file it.

Can we bring our own production company?

Yes, and for major brand events it often makes sense. We cover venue, permits, power, local crew and logistics; your team runs creative and technical. Agree the split at booking rather than during setup.
